Hosting a Black Men In White Coats Youth Summit

What is a BMWCx event?
BMWCx Youth Summits are locally organized events that bring healthcare professionals  together for the single purpose of providing underrepresented minority youth with exposure to the medical field. These summits are independently organized by leaders within the community.  They educate students, parents, teachers, and community leaders on what it takes to become a medical professional while allowing them to establish and expand their networks.

Who can host BMWCx events?
BMWCx events must be hosted by a team of at least three lead individuals.  Each individual must be 18 years of age or older. Teams must apply for a BMWCx presentation license and can host the event ONLY after being approved by the BMWCx curator team. You can find the inquiry form HERE.

Licensing
In order to host a BMWCx event, you must apply and be approved for a license. The term of the license is one year. One month prior to expiration, license holders can submit a renewal application. Black Men In White Coats reserves the rights to revoke a license at any time with or without cause. You can find the license inquiry form at the bottom of this page.

What is the format of the BMWCx event?
Following our standard event format is mandatory.  Events are not to exceed six hours in duration. The event must begin with a welcome message from event hosts and a short video message from the founder of Black Men In White Coats if he is not present.  Following the introduction, time should be allotted for a single keynote speaker.  After that, a a minimum of two clinical skills workshop should be done for students and parents/adults in attendance should have a minimum of two workshops (one must be "How to Raise a Doctor".  Following the morning sessions, a mentoring lunch is required, inviting healthcare providers from the community.  After that a Black Men in White Coats/Healthcare professionals Q&A panel should be done. Who can/should attend BMWCx events?
BMWCx events should not exceed 500 people in year one without approval of BMWC. There must be a minimum of one volunteer staff member for every twenty participants in attendance. This restriction is put in place as a safety regulation to help the organizers maintain control over their event. If your event’s attendance is expected to surpass 500 guests, you must contact us, at latest, two weeks prior to your event date for special approval (Summit@BlackMenInWhiteCoats.org). At least half of your event participants should be under 22 years of age. While these events are not prohibitive to any demographic, we do ask that organizers make a special effort to ensure an adequate representation of black boys and men.

Branding
Individuals who are granted a license may use the BMWCx logo. At a minimum, all events must showcase the BMWCx logo on stage in addition to having a BMWCx banner at the entrance doors of the event.  It is mandatory that you always refer to your event using the full name your license was approved for. You are NOT permitted to showcase any other organizations logo on stage during your BMWCx event. Event sponsors may be verbally acknowledged; however, their logo may not be displayed.

Marketing
Black Men In White Coats will assist with your online marketing.  This includes leveraging our various social media platforms, podcast, email lists, website, and partnerships.  

Partnerships
You are NOT permitted to host a BMWCx in conjunction with another event. These are stand-alone events.

Recording BMWCx Events
It is mandatory that all Keynote addresses and Q&A panels be recorded and submitted to Black Men In White Coats within 48 hours of the event. This content will be uploaded to our various social media outlets for public viewing. All speakers must sign our release form. Please submit electronic/scanned copies to Summit@BlackMenInWhiteCoats.org with an email subject line: "[City Name] release forms".

Budgeting
We have designed these summits to be very affordable. Sponsorship is allowed.  If possible, we highly encourage hosting your event at a venue in which space is donated. Do note that the cost of food is often a major line item.  We recommend seeking sponsors for food cost early in your planning process.  Other basic costs to anticipate include an administration fee, videographer, photographer, and stationary. 

Admission Fees
Admission for all BMWCx events must be free to the public. Hosts may NOT charge a fee to enter the event.
